Define the job social media should do
One business may need product explanations, another recruitment support and another distributor communication. These objectives can appear in the same calendar without sharing the same success measure. Agree the main audience, priority purpose and the demand the team can handle.
“More followers” is an incomplete brief. Consider who follows, what the content explains and what the business offers next. Repeated sales messages may be unsuitable for someone still learning; light entertainment alone may not help a buyer seeking service information.
Review more than the most liked post. Profile details, accurate links, current services, content consistency and the response process all matter. Do not build a plan around services, qualifications or results that the business cannot substantiate.
| Need | Initial assessment |
|---|---|
| Editorial management | Question, source material, copy and approval |
| Production | Photography, design, editing and rights |
| Community and advertising | Response authority, distribution and outcome definition |
Choose formats around the message
Publishing the same file everywhere can appear efficient, but audience expectations and context differ. Short video may demonstrate a use case, a sequence of images may compare options and a longer explanation may add necessary context. Select a format for its communication role instead of relying on unsupported algorithm claims.
Build content areas from real questions: product or service explanations, process, frequently asked questions, authorised work, practical use and relevant announcements. There is no need to fill a fixed number of content pillars for every company. Each item should have an audience, purpose and reliable source material.
Give related subjects distinct roles. Influencer selection, Instagram format planning and the use of social proof are different decisions. Repeating one photograph and one generic explanation makes them harder to distinguish. Images should help visitors understand the topic as well as recognise the brand.
Include production and approval in the calendar
A workable calendar can record topic, purpose, source material, copy, visual requirements, producer, approver and publication date. Identify who verifies technical or sensitive claims. Discovering on publication day that the product image or price approval is missing is a planning issue.
Match the schedule to sustainable production capacity. A useful, maintainable programme may be preferable to daily posts that repeatedly say the same thing. This is an operating approach, not a platform-ranking promise. The objective is accurate information delivered through a process the business can maintain.
Prepare for changes. Who stops a scheduled item when stock runs out, an offer changes or a factual error is found? Approval should protect accuracy and timing, rather than merely record whether someone likes a design.
- Set the editorial purpose
- Plan production
- Verify and approve
- Publish and review
Treat photography and visual production as a defined scope
Clarify how photography and video are supplied. Editing client footage, arranging a new shoot, motion design and obtaining usage rights are different tasks. A shoot may need a shot list, product preparation, location access, participant permissions and agreed delivery formats.
Give each visual a role. A use demonstration, close-up detail and process diagram explain different things. Do not present stock people or locations as the real team or office. Confirm rights and permissions before publishing either stock or client-supplied material.
Identity provides consistency without requiring every message to use one rigid layout. An announcement and an educational explanation can need different hierarchies. Discuss photo and video production through intended uses and deliverables so that the production requirement is clear.
Assign message and issue handling
Publishing and answering a customer question are different responsibilities. Which messages can the agency answer, and which technical or commercial questions return to the business? Set boundaries for prices, stock, appointments and complaints. A fast but unverified response can create a larger trust problem.
Commit to a response time only when there is a workable process behind it. Define out-of-hours and sensitive-message handling. In regulated sectors such as healthcare, personal medical advice or uncontrolled collection of health information should not be described as an ordinary community-management task.
Do not reveal private correspondence, order details or personal information in a public reply. Establish a route to follow an issue through the appropriate channel. Deleting a comment or pasting a standard answer is not the correct response to every situation; consider the circumstances and applicable platform rules.

Connect organic content and paid advertising deliberately
Organic content can explain the service and maintain a useful information presence. Paid advertising is a separate distribution activity with its own objective and budget. A well-liked post is not automatically a suitable advertisement for every audience. Assess the offer, audience and destination together.
The website should deliver the promise made in the content. A relevant service page can be more useful than an unexplained link to the homepage. The form or WhatsApp route should indicate the subject to discuss. Withholding all service information to force an enquiry is not a helpful conversion strategy.
Social media management and advertising setup or management can be different scopes. Specify which research, copy, design, production, publishing and response work is included. Keep media spend separate from agency fees and third-party production costs.
Make reporting support a decision
A report should do more than list reach, followers and reactions. Explain the signals relevant to the content’s purpose: a useful question, service-page visit, contact intention or verified enquiry. Platforms may use different definitions, so comparisons need their scope and limitations stated.
A telephone or WhatsApp click is not a completed conversation. A form record may require further qualification before it represents a suitable customer. Sales attribution may not be established by a social report alone. Clear limitations are more credible than unexplained performance claims.
End the review with a practical decision. Which subject needs a fuller explanation? Which format creates production difficulty? Which question keeps returning to sales staff? Avoid firm conclusions from a few reactions, and document why the next activity was chosen. Missing website measurement can be discussed through Google Analytics and Tag Manager setup.
Compare deliverables and ownership when choosing an agency
Two proposals with the same number of posts can contain very different work. Compare research, shooting, writing, design, scheduling, publishing, responses, advertising and reporting separately. Revision scope, approval delays and additional production should be visible.
The business should retain account ownership, with task-appropriate access for the agency. Personal passwords should not become the normal way to collaborate. Agree the handover of files, plans and access before the engagement ends. Access to publish is not, by itself, evidence of a sustainable working process.
WeAreMedia can review your current accounts and priority customer questions. Share your social media needs or call +90 542 547 36 38. The first conversation can distinguish management, production, advertising and the customer journey connecting them, with a clear scope and review method rather than a follower or sales guarantee.
Frequently asked questions
How many posts should we publish each month?+
Decide from the need, quality and production capacity. One post count is not suitable for every brand or platform.
Is photography included in management?+
It depends on the proposal. New shoots, editing existing material, video production and usage rights need separate definitions.
Does the agency answer customer messages?+
Agree authority and information boundaries in writing, including how technical, commercial and sensitive questions reach the business.
Is advertising spend included in the management fee?+
Media spend and agency fees are separate. Content production and advertising-management deliverables should also be specified.
